Freedom Church Bristol Data Privacy Notice

As part of the day to day running of the Freedom Church. Wiltshire , we will collect and use your personal data for the reasons set out below and in accordance with the Data Protection Act 2018. Personal Data includes, but is not limited to, your name, address, telephone number and email address.

In order to keep you up to date with the latest news and events at Freedom Church. Wiltshire, we ask for your consent to stay in touch. We send out the following communications to those who have requested to receive these updates:

  • Family News emails – monthly emails detailing church activities and events
  • Prayer requests/requests for help – from time to time as needed
  • Youth events
  • Ladies/Men’s events – as relevant, on a monthly basis

If you have signed up to attend a one-off event, we may also communicate with you about future similar events that we believe may be of interest to you. You are free to unsubscribe from our mailing list at anytime using the details below.

Pastoral contact

This may be done by email but is largely done through telephone conversation or text message. If you have given us your telephone number, we will only use it for pastoral communications and urgent updates. For example, we may call you to check how you are

We will generally communicate with you by email, but if there is an urgent need to communicate with you, we may use your telephone number to contact you. We do not generally communicate by post but may do so if you are a member of the church and we need to make contact with you in line with our legal charitable obligations.  Contact details will be held securely and only shared with those that need them to fulfil the purposes set out above.

and they will ensure our database is updated. Please note that it may take up to 7 working days for your information to be updated.

Choosing to unsubscribe from a specific type of email will mean that you are no longer sent those type of communications. However, if you wish to unsubscribe from all email and do not wish to have phone contact from the church, please make that clear at the point of unsubscribing. We will respect your decision.

1. Your personal data – what is it?

Personal data relates to a living individual who can be identified from that data.  Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”) and the Data Protection Act 2018.

2. Who are we? 

Freedom Church. Wiltshire (FCW) is the data controller (contact details below).  This means they decide how your personal data is processed and for what purposes.

3. How do we process your personal data?

We comply with our obligations under the “GDPR” by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

In this instance, we use your personal data for the following purposes:

  • To inform you of news, events, activities and services and prayer requests
  • To process DBS checks for those fulfilling certain roles in line with our Safeguarding Policy
  • To comply with relevant legal obligations

4. What is the legal basis for processing your personal data?

  • Consent so that we can keep you informed about news, events, activities and services and keep you informed about events.
  • Legitimate interest: where based on your previous attendance at event for example, we believe you would be interested in future similar events.
  • Contractual: We contact members about matters concerning their role as members, upcoming meetings and decisions etc. in line with our charitable obligations based on your legitimate interest.
  • To meet other legal obligations – e.g. health and safety and for safeguarding purposes.

5. Sharing your personal data
Your personal data will be treated as strictly confidential and will only be shared with others for legitimate reasons connected to the operations of FCW. We will not share your data with third parties, unless you ask us to, we do so to fulfil a contractual obligation, or unless we are required by law.

6. How long do we keep your personal data?
We keep data for as long as you are a member of FCW, serve as a volunteer, or actively attend and participate in the activities of the church, or for longer if there is a legal requirement to do so. 

7. Your rights and your personal data  

Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data: –

  • The right to request a copy of your personal data which FCW holds about you 
  • The right to request that FCW corrects any personal data if it is found to be inaccurate or out of date  
  • The right to request your personal data is erased where it is no longer necessary for the FCW to retain such data
  • The right to withdraw your consent to the processing at any time
  • The right to request that the data controller provide the data subject with his/her personal data and where possible, to transmit that data directly to another data controller, (known as the right to data portability), (where applicable) 
  • The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing
  • The right to object to the processing of personal data, (where applicable) 
  • The right to lodge a complaint with the Information Commissioners Office

8. Further processing

If we wish to use your personal data for a new purpose, not covered by this Data Protection Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.
